A letter was mailed to all homeowner's at the address on file with the HOA October 11.  The letter includes the information to join the zoom call.

If you are not able to attend the conference call, please return a signed proxy by 6:00 pm Wednesday.  You can sign the proxy mailed to you, take a picture, and attach it to a reply to the HOA email address or you can sign it and drop it in the box on the porch at 4008 Fair Meadows Dr.

We need participants to achieve a quorum so that we can conduct the meeting.  Your attendance (whether by proxy or by participation in the conference call is crucial).  We also value your input as we will be discussing the annual budget and homeowners' dues, the subdivision wall, and electing new board members.

Hello Fairfax Meadow Neighbors,

Likely you have noticed that the City of Plano has begun replacing the screening wall between Sun Meadows and Fair Meadows. This has been coming for more than 5 years. While the city maintains the wall between those streets, the HOA is responsible for the walls both North of Sun Meadows (4001 Sun Meadows) and South of Fair Meadows (4000 Fair Meadows) to the end of the property. Each year at the annual meeting, a special assessment has been discussed to cover the expense of ensuring the walls the HOA maintains will match the wall maintained by the city. It has come time to levy that assessment.

As required by Section 7.05 of the FMHOA Covenants, a meeting will be held on
02/23/2023 to vote on the special assessment.

The bid for the brick work comes to ~$75,000. There will likely be additional
expenses to restore electricity and landscaping following the brick work. The board
has put together two proposals for raising the funds for the work.

Proposal 1 : Initial assessment of $350 per home to cover the initial rebuild of the
wall. Following the completion of the wall rebuild, a subsequent assessment to
cover the follow-up work of landscaping, electrical, etc.

Proposal 2: A one-time assessment of $550 per home. The expectation is that this
would cover the wall rebuild and a subset of follow-up work. Should it cover all the
follow-up work, credit for next year’s annual assessment will be applied equally to
each home.

Due to lack of returned proxies and attendance, last month's Annual Homeowners Meeting has been rescheduled to Thursday, November 19, 2020 at 7:00PM.

For safety purposes surrounding Covid-19 this will be a call in meeting.

We strongly encourage all homeowners to attend or return their proxy as soon as possible. 

Updated proxies have been mailed out to all homeowners this week and should be returned to the address listed if you are unable to attend. It is very important that if you are not able to attend to return this proxy.

We also wanted to update you on the utility construction that has been going on along Coit Rd. in our neighborhood common areas. AT&T has been working to install new underground utility lines along Coit Rd. for the last few months. This has prevented us from being able to plant our fall/winter flowers and install our Christmas decorations this year. During the construction process the common areas have been without water and electricity. AT&T is in the process of getting all of that repaired and doing their final work and testing on their new utility lines. We are continuing to work closely with AT&T to get everything back up and running and ready for our Spring planting season.
